30% faster delivery. Unifying knowledge, data and workflows into a single interface

Cimplifi is a leading legal services provider and AI orchestrator, delivering trusted, outcome-driven eDiscovery and contract analytics solutions for law firms, corporate legal departments, and the public sector across the US and UK. With deep expertise in platforms such as Relativity, their services support complex, high-stakes legal workflows at scale.

As the complexity of Cimplifi’s ecosystem and services grew, accessing the right information quickly became more difficult. Knowledge, platform data and administrative actions were spread across multiple systems, increasing friction for both employees and clients.

Cimplifi partnered with Instil to design and build Maestro - an intelligent agent that provides instant, natural-language access to knowledge, live platform data and operational actions through a single interface.

Challenge

Cimplifi’s teams operated across multiple systems, knowledge bases and internal tools. As the organisation’s platform ecosystem expanded, retrieving information and carrying out routine operational tasks became increasingly fragmented and time-consuming.

Several operational constraints made a new approach necessary:

Knowledge spread across systems - support content, operational guidance and platform documentation existed across multiple repositories, forcing users to know where information lived before they could retrieve it.

Specialist admin dependency - accessing Relativity data such as matters, workspaces, agreements and audit records required direct use of specialist administrative tooling, limiting access to experienced platform users.

Manual operational workflows - routine tasks such as user provisioning and administrative updates relied on manual support processes, increasing operational overhead and slowing response times.

Growing platform complexity - as systems, users and operational requirements expanded, moving between disconnected tools introduced increasing workflow friction for both internal teams and clients.

Approach

Instil worked closely with Cimplifi to design and build Maestro - an intelligent assistant that provides access to operational knowledge, live platform data and routine administrative actions through a single interface. The engagement focused on reducing operational friction caused by disconnected systems, manual platform queries and repetitive support workflows.

The engagement followed Instil's Agentic Product Engineering approach, combining rapid iteration with AI-assisted development workflows to accelerate delivery without compromising engineering quality.

Connected knowledge, data and workflows - designed a single interface that brought together operational knowledge, live platform data and routine administrative tasks, reducing the need for users to move between multiple systems.

Integrated live Relativity information - connected Maestro directly to Relativity so users could retrieve real-time information across matters, workspaces, agreements, users and audit records.

Reduced manual support effort - implemented workflows for routine administrative tasks such as user provisioning, reducing dependency on manual support processes and repetitive operational work.

Aligned with existing permissions - ensured users could only access the information and actions already available within Cimplifi’s existing access controls and security model.

Delivered rapidly into production - used AI-assisted development workflows and rapid iteration throughout delivery, moving Maestro from concept to production deployment in two months.

Impact

Delivered into production in two months, 30% faster than the original three-month estimate. Maestro now introduces a fundamentally new way for users and employees to interact with the organisation's knowledge and systems.

Reduced time spent retrieving information - users could retrieve operational knowledge and live platform data through a single interface instead of navigating multiple systems, admin tools and support resources.

Reduced manual operational effort - routine administrative tasks such as user provisioning moved from manual support workflows into automated actions, reducing repetitive operational overhead.

Expanded access to platform data - information previously limited to experienced Relativity administrators became accessible to a broader range of users without requiring direct use of specialist tooling.

Accelerated delivery to production - Instil moved Maestro from concept to production deployment in two months, compressing the original delivery timeline by 35% without compromising operational requirements.

Reduced workflow fragmentation - knowledge retrieval, platform queries and administrative actions were consolidated into a single workflow, reducing context switching across disconnected systems.

Built for continued expansion - the platform was designed to support additional workflows, integrations and operational capabilities as user and business requirements evolve.

For Cimplifi, accessing information and performing routine tasks moved from a multi-system process to a single conversation - reducing friction and improving how work gets done.

If you’re dealing with growing platform complexity and need a clearer way to connect users to knowledge, data and actions, Instil’s Agentic Product Engineering approach helps teams turn that complexity into build-ready solutions quickly. Let’s talk.
